Mission Description
Discrepancy Management, Identify and immediately report any discrepancies, inconsistencies, or
irregularities in cargo documentation or container details. Escalate issues promptly through the
company's designated “Red Flag” procedure. Coordinate with supervisors or relevant
departments to resolve issues efficiently.
3.2 File Management.
• Open, update, and close AICD files accurately. Ensure all required documentation is properly
filed and linked to the correct AICD file. Regularly update AICD files with new information,
documentation, or status changes during the cargo handling process.
Review files for completeness and accuracy before formally closing them. Ensure closed files are
properly archived for record-keeping and future reference.
• Generate accurate truck loading orders. Prepare and generate accurate truck loading orders
based on verified shipment details. Ensure all loading instructions reflect the correct container
numbers, cargo details, and destination information. Co-ordinate with the operations and logistics
teams to ensure timely and accurate dispatch of trucks.
• Process exits permits upon receipt of required documentation. Confirm that cargo clearance,
documentation, and authorization requirements are fully satisfied before issuing permits.
3.3 Reporting & Stock Control.
• Update and transmit daily stock reports. Prepare and update daily stock reports reflecting
accurate inventory levels and movements. Transmit stock reports to relevant internal departments
and clients within the required timelines. Ensure all reported data is verified and consistent with
physical stock and system records.
• Maintain accurate client stock records. Ensure proper documentation is maintained for all
inventory transactions. Regularly reconcile stock records with warehouse or yard inventory levels.
• Ensure compliance with agreed client KPIs. Support the achievement of service standards related
to accuracy, timeliness, and documentation. Report any potential risks that may impact KPI
performance to supervisors or management.
• Identify and report discrepancies immediately. Identify any discrepancies between physical stock,
system records, and documentation. Immediately report discrepancies through the appropriate
escalation channels. Assist in investigations and corrective actions to resolve stock variances.
Maintain proper documentation of all discrepancies and corrective measures taken.
3.4 Compliance & ISO Support.
• Ensure adherence to documented procedures and SOPs. Follow approved documentation and
operational workflows to maintain consistency and compliance.
• Maintain proper record control in line with ISO document retention policies. Ensure all operational
files, reports, and records are properly stored, labeled, and archived.
• Participate in internal audits where required. Assist auditors by ensuring that records and
procedures are properly documented and readily available.
