Mission Description                      

Support the Commercial department; translate customer needs into execution process and act as the bridge between the Commercial and Operation teams. Provide support to the Commercial department with business development. Ensure all estimate requests are completed and submitted within the required period.
Manage account from prospection stage to customer care
• Assist Commercial department by receiving and handling enquiries from prospects and customers.
• Assist Commercial department with customer visits whenever needed.
• Manage the business relationship of nominated existing accounts.
• Ultimately responsible to gather customer requirements before transferring to Operational department. • Provide customer feedback to middle office for continuous improvement.
• Optimize sales by offering additional services to prospects and customers.
• Maintain rates validity with nominated customers.
Handle Quotations / SOPs and transfer to Operational department
• In charge of replying to customers with quotations within a limited timeframe which include:
o Advise customer on transport (operations, contingencies, insurances, customs, routing…) o Review routing provided by MO
o Carry out quotation
o Set validity
o Ensure terms and Conditions are included

Monitor customer satisfaction experience and AGL performance
• Review of AGL commitments with customer and act upon found gaps.
• Contribute to measure internal KPIs with Operational departments to narrow operational gaps and offer a
better
service to the customer.

Business development:
o Provide support to the Commercial department with business development.
o Support with sales campaigns as delegated by reporting manager.

Rate procurement & Estimates
• Sea, air and road freight rate negotiations with suppliers.
• Should be more aggressive pricing be required, engage with Operational department managers for support. • Rate analysis to identify best rate and service.
• Generating of estimates in accordance with approved rates.
• Submitting estimates in accordance with approved rates.
• Submitting estimates in line with target deadlines.
• Monitor target deadlines with the aim of not missing specific deadlines.
• Monitor success of estimates submitted.
• Complete reporting requirements as required.
• Maintain good communications with operational staff and peers.
Key Tasks and Responsibilities
• Quotations:
o As requested by clients and agents, source relevant rates, create and send accurate estimates.
o Quotes will include all modes of transport.
o Ensure that all quotes / outcomes of quotes are registered on quotation module on a weekly basis.
o All new business must be handed over to operations. The handover to include the completed estimate, rate sheet / work sheet and the original customer enquiry.
o Keep records of all rates.
o Ensure operations are updated with the relevant vendors to be used and their buy rates.

 

Profile

Ensure resolution of complaints
• Handle resolution of complaints through further investigation with concerned parties.
General
• Deal directly with customers either by telephone or electronically.
• Obtain and evaluate all relevant information to handle enquiries.
• Negotiate rates and compile estimates according to shipment requirements.

• Assessing viability of business, negotiating rates, planning of scope of work and presenting tenders to clients. • Ensure total accuracy of all quotations.
• Ensure all quotations are profitable.
• Ensure that all estimates are countersigned by operational heads, prior to sending the final pricing to the
customer
• Quotation negotiations to consider quality of the service offered, as well as cost.
• Communicate and coordinate with internal departments.
• Handover shipments to Operational departments.
• Liaise and communicate with AGL network regularly.
• Negotiating rates with nominated and approved third parties upon request from client and AGL network.
• Handling of general administrative tasks.
• Assisting the Commercial Department to keep the quotation module updated.
• Complete handovers to operations for new and existing business.
• Create a positive relationship with customers and ensuring the interaction the customer has with the business
is an efficient satisfying experience.

Minimum Education and Experience Requirements:
• Grade 12 or equivalent with Mathematics and Accounting.
• Computer literacy (Microsoft Excel / Word / In house programs). • Financial knowledge / experience will be an added advantage
