Key Responsibilities:

1. Fleet Tracking and Journey Management
•	Monitor and track the daily movement of the fleet through the IVMS platform.
•	Ensure all vehicles are deployed according to approved journey plans.
•	Monitor vehicle locations, trip progress, transit times, and delivery schedules.
•	Identify, investigate, and report route deviations, unauthorized movements, excessive idling, and operational exceptions.
•	Support the Journey Management Planner by ensuring adherence to approved journey management procedures.
•	Provide real-time fleet visibility and operational status updates to relevant stakeholders.
•	Maintain accurate fleet movement records and generate daily tracking reports.

2. Deployment Monitoring
•	Monitor the timely deployment of trucks and equipment according to operational requirements.
•	Track vehicle dispatch and arrival times to ensure efficient utilization.
•	Ensure all journeys are initiated, monitored, and completed in line with company journey management standards.
•	Escalate delays and operational disruptions to the relevant departments for immediate action.

3. Loading, Offloading, and Border Monitoring
•	Monitor truck turnaround times at loading and offloading points.
•	Track border crossing activities and identify delays affecting delivery schedules.
•	Communicate operational delays to transport operations, logistics teams, and customers where required.
•	Maintain records of loading, offloading, and border performance metrics.
•	Recommend corrective actions to reduce downtime and improve fleet efficiency.

4. Driver Documentation and Compliance Management
•	Ensure drivers upload all required trip-related documents into the company's fleet management systems within specified timelines.
•	Verify the accuracy and completeness of submitted documents.
•	Follow up on outstanding documents and compliance requirements.
•	Maintain electronic and physical driver records where applicable.

5. Driver Performance and Behaviour Monitoring
•	Monitor driver behaviour through IVMS and telematics reports, including: 
•	Prepare daily, weekly, and monthly driver performance reports.
•	Escalate safety violations and non-compliance issues to management.
•	Support driver coaching and continuous improvement initiatives.

6. Fleet Utilization Management
•	Monitor fleet utilization and vehicle productivity.
•	Identify underutilized vehicles and recommend optimization measures.
•	Analyze fleet performance &lt;br /&gt;&lt;br /&gt;
Qualifications and Experience
Education
Bachelor's Degree or Diploma in any of the following fields:
•	Logistics and Supply Chain Management
•	Transportation Management
•	Automotive Engineering
•	Mechanical Engineering

•	Any other related discipline

Experience
•	Minimum 3 years' experience in Fleet Management, Transport Operations, or IVMS Administration.
•	Proven experience managing and monitoring a large commercial fleet using an IVMS platform.
•	Hands-on experience in vehicle tracking, journey management, transport compliance, and driver performance monitoring.
•	Experience within logistics, transportation, mining, oil &amp; gas, FMCG, or large-scale fleet operations will be an added advantage.
Added Advantage
•	Previous experience working with MiX Telematics or similar fleet telematics systems.

1.	Strategic &amp; Operational Leadership

2.	Sea Imports Oversight

•	Approve or review major import files, especially those involving high-value cargo, client escalations, or potential financial exposure.
•	Validate that customs documentation, valuation, and tariff classification comply with KRA and port regulations.

3.	Sea Exports Management
•	Oversee export operations to ensure accurate and timely documentation, customs clearance, and vessel loading.
•	Supervise the Exports Supervisor in planning and coordinating export bookings, container allocations, and shipping instructions.
•	Review export performance indicators (volume, accuracy, cost, turnaround time) and drive corrective actions for improvement.

 Hourly interval visits to the factory modules to check Kanban reorder levels and

important information in the 3-hour SICs. 
 Ensure that verification of materials outgoing to SMD/PMD and recording on the 
checker's book with the necessary requirements has been done. 
 Ensure that materials at the Factory Kanbans do not exceed the required 
Kanban levels and that materials delivered are for the specific module. 
 Act as liaison between WMS/Palletizing departments and Production (SMD and 
PMD) teams. 
 Ensure data clerks accurately manage inventory through stock checks, audits, 
and cycle counts following company procedures. 
 Provide timely and accurate daily reports, such as cycle counts, production 
reports, and others, to maintain proper internal reporting and track materials 
movements. 
 Participate in mid and end-month stock taking activities. 
 Communicate effectively and efficiently with factory and warehouse personnel 
to ensure accurate data capture and timely resolution of issues. 
 Monitor performance and ensure operations are being done safely. 
 Ensuring that ODS housekeeping is always on point following the 5S technique. 
 Ensure daily Pulsar observation is done. 
 Conduct daily toolbox meetings to communicate goals, objectives, and 
performance expectations and that sign offs for the same are done. 
Documentation: 
 Ensure that detailed records of all documentation books at ODS have been 
done with real-time accuracy. 
Other:

•	Conduct regular stock counts, cycle counts, and audits; investigate and resolve discrepancies.
•	Control obsolete, slow-moving, or damaged stock in accordance with company procedures.
•	Ensure full compliance with HSSE policies, procedures, and local regulations.
•	Promote a strong safety culture within the warehouse team.
•	Ensure safe handling of hazardous materials and proper use of PPE.
•	Maintain warehouse security and prevent loss, damage, or theft of materials.
•	Supervise, train, and develop warehouse personnel, including storekeepers and forklift operators.
•	Allocate tasks, manage work schedules, and monitor performance.
•	Ensure discipline and compliance with company rules and procedures.
•	Prepare and submit regular reports on inventory levels, warehouse performance, and key KPIs.

Qualifications &amp; Experience:
•	Diploma or Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
•	Minimum of 5–8 years' experience in warehouse management, preferably in a remote or project-based environment.
•	Proven experience managing large inventories and teams.
•	Experience in industrial, construction, mining, or oil &amp; gas environments is an advantage.
•	Knowleadge of QHSE procedures.

Working Conditions

Monitor cargo tracking and update stakeholders on status.

4. Coordination &amp; Stakeholder Management
Coordinate with freight forwarders, transporters, shipping lines, and airlines.
Ensure timely communication on shipment updates and issues.
Proactive communication with customers and internal stake holders for service delivery and improvements.

5. Team Supervision
Supervise IFFO and support teams.
Allocate tasks and monitor performance.
Ensure adherence to SOPs and safety standards.

6. Reporting &amp; MIS
Prepare daily/weekly shipment reports and KPI dashboards.
Track clearance timelines, delays, and compliance issues.

1.	Forklift Operation:
•	Safely operate a forklift to load, unload, and move materials.
•	Ensure accurate placement of goods in designated areas.

2.	Safety and Compliance:
•	Follow safety protocols and procedures.
•	Conduct pre-shift checks on the forklift.
•	Report any issues or incidents.

3.	Productivity:
•	Meet productivity targets for loading/unloading.
•	Maintain a clean and organized work area.

4.	Communication:
•	Coordinate with team members on tasks and priorities.
•	Report any issues or concerns to supervisor.&lt;br /&gt;&lt;br /&gt;
•	Valid forklift operator license or ability to obtain one.
•	3+ years of experience operating a forklift.
•	Basic literacy and numeracy skills.
•	Ability to work in a fast-paced environment.&lt;br /&gt;

Manage the day-to-day operations of site warehouse activities, ensure compliance with SOPs, accountability of stocks therein, meeting site GM target, liaison with other departments and customer relationship management.

•	Forecast and plan dispatch schedules to achieve On-Time-In-Full (OTIF) delivery
•	Implement sound operational procedures to optimize the GM
•	Prepare periodic reports and submit to management
•	Maintain good relations with the Client and address their issues amicably
•	Ensure adherence to health and safety procedures
•	Coordinate and control the order cycle
•	Analyze data to monitor performance, forecast demand and plan improvements
•	Hold daily operation review meetings with the team to have full visibility of truck position (loading, offloading, order release status etc.)
•	Liaise closely with the client to ensure release of trucks (ECTS)to various routes
•	Liaise closely with Finance on collection of outstanding balances
•	Proactively check on potential or actual shipment failures and agree on a solution that will achieve customer satisfaction.
•	Proactively contact the Client when service issues may affect delivery commitments, understand their needs to recommend an appropriate solution in a timely manner.&lt;br /&gt;&lt;br /&gt;
•	Bachelor's degree in Transport &amp; Logistics / Supply Chain / Operations / Business Management or related disciplines
•	5 years of professional experience in warehousing, base management, Inventory / Stock Control, ICD Management, Distribution or a similar role.
