MISSIONS

clients, nécessaires pour réaliser expédition. 

▪ Transmettre tous les documents, communiquer les instructions et s'assurer de l'effectivité des 
prestations confiées aux partenaires de référence du contrat et autres ou sous -traitants : 
Douane / Transporteur / Entrepôt / Organisme de vérification ou émetteur d'attestations liées à 
l'expédition. 
▪ Booking auprès de la compagnie maritime / aérienne 
▪ Organiser le positionnement du conteneur ou l'enlèvement des marchandises 
▪ Assurer en temps réel la communication sur le déroulement du dossier avec le client et/ou son 
fournisseur, le réseau. 
▪ Réception des documents de transport (MBL, HBL, MAWB, HAWB)

▪ Emission de la facture au client 
▪ Envoi des documents au client ou au réseau. 
▪ Gestion des factures fournisseurs, réception, vérification, imputation au dossier, transmission à

▪ Respecter les SOP mise en place dans le cadre de la gestion d'un client sous contrat 
▪ Reporter dans le système toutes les actions / évènements requis pour le monitoring des flux 
dans le cadre du contrat avec le client. 
▪ Être force de proposition auprès de son N+1 pour des suggestions d'améliorations de 
l'exploitation d'un trafic sous contrat. 
▪ Respecter toutes les consignes ou procédures opérationnelles et financières de l'entreprise. &lt;br /&gt;&lt;br /&gt;
PROFIL

▪BAC + 2/+ 3 en Transport / Logistique / Commerce International
▪2 à 3 ans d'expérience dans une activité similaire, de préférence en transit maritime export
▪Anglais courant 
▪Maîtrise des outils du pack Office 
▪Expérience dans l'utilisation d'un TMS opérationnel

Job Purpose:

•	Documents to be courier to destination before vessels arrive to avoid demurrage.

•	Within own sphere identify and escalate to FS-P incorrect information before sending to customers

•	Support Management through the communication of current issues and continuous improvement of customer standard.

•	Support Sea Logistics operations teams in industry related questions / requirements (point of escalation)

1.	Track &amp; Trace Operations
• Monitor all assigned vehicles using the IVMS/GPS tracking platform to ensure continuous visibility throughout the transport journey.
• Track vehicle movements from origin to destination, including loading, transit, border crossing, delivery, and return journeys.
• Monitor convoy movement to ensure compliance with approved convoy management procedures.
• Identify transport delays, route deviations, unauthorized stops, and operational exceptions, escalating issues promptly.

2.	IVMS Monitoring &amp; Driver Compliance
• Monitor driver behaviour through IVMS, including speeding, harsh driving, unauthorized stops, night driving, and convoy gap violations.
• Generate and distribute daily driver violation reports to management, QHSE, and transport service providers.
• Maintain historical records of violations and support corrective action initiatives with transporters.
• Ensure IVMS information is accurate, updated, and fully operational throughout each shift.

3.	Client Communication &amp; Operational Coordination
• Provide customers with regular updates on truck locations, estimated arrival times (ETAs), convoy progress, and operational exceptions.
• Issue timely notifications for convoy departures, arrivals, and site approach in accordance with client communication requirements.
• Coordinate daily with transporters, convoy leaders, border teams, site teams, and internal operations to ensure uninterrupted cargo movement.
• Escalate incidents, emergencies, and operational risks to the Control Tower Manager without delay.

4.	Reporting &amp; Data Management
• Prepare accurate daily, weekly, bi-weekly, and monthly operational tracking reports.
• Consolidate transport performance data, transit times, mileage, truck rotations, vehicle utilization, and operational KPIs.
• Maintain accurate tracking records and ensure all operational data is properly archived and readily available for reporting and audits.
• Develop action trackers for outstanding operational issues and monitor closure of assigned actions.

5.	Performance Monitoring &amp; Continuous Improvement
• Analyse transport performance trends and recommend improvements to increase operational efficiency and visibility.
• Support implementation and continuous improvement of tracking technologies, reporting systems, and communication processes.
• Participate in operational review meetings by presenting tracking performance and KPI reports.
• Assist with transporter performance reviews by providing accurate operational performance data.

• Investigate customer complaints and implement corrective actions to improve service delivery.

4.	QHSE Compliance &amp; Risk Management
• Promote compliance with company and client QHSE policies throughout site operations.
• Conduct regular site inspections to ensure compliance with safety procedures, PPE requirements and operational standards.
• Investigate operational incidents, near misses and non-conformities, implementing corrective and preventive actions.
• Exercise stop-work authority where unsafe practices present unacceptable operational risk.

5.	Operational Reporting &amp; Performance Management
• Prepare accurate daily, weekly and monthly operational reports covering cargo movement, site activities, resource utilization and performance metrics.
• Monitor operational KPIs and provide recommendations for continuous improvement.
• Maintain accurate operational documentation, inventory records and site activity logs.

6.	People Leadership &amp; Resource Management
• Supervise, coach and develop site operations personnel to achieve high performance and operational excellence.
• Allocate work, monitor productivity and ensure accountability across the site team.

3. Offloading Coordination &amp; Site Operations

Job Purpose:

TASKS AND RESPONSIBILITIES

•Manage the team (N-1) including Fleet drivers, Workshop and Subcontracted Transport 
•Inform N-1 of the entity strategy/evolutions and communication on required alignments
•Build &amp; adapt the logistics services offer according to market situation or market anticipation, capacity of the organization, profitability and associated risk level in coordination with Sales department and General Management
•Monitor quality of service of the Uganda fleet to generate the required turn truck around to achieve budget target (Kenya/EDRC/South Sudan) including KPI's based on number of trips, number of containers delivered in time, number of trips/available truck
•Manage the operational relationship with AGL Internal Departments or direct clients
•Receive instructions from the client (internal or external) prior to cargo delivery or collection (Mainly Aid &amp; Relief clients) 
•Inform the client (internal or external of delivery/ collection status)
•Alert the client in case of operational issue (potential/ real)
•Drive the deliveries for vehicle service while controlling overheads and Workshop costs
•Based on the received cargo delivery/ collection requests, prepare/ validate the operations planning and inform COMs and FOPs
•Track the fleet (via central GPS system) and ensure optimization of the mobilized means
•Organize and control the documentation transmission: Delivery proof (POD, RCN) to COM units and interchange to container Logistics Manager
•Liaise with QHSE for audit recommended actions implementation
•Analyze and focus on staff costs: casuals, extra- work
•Monitor and challenge workshop costs: Gas, Oil, Tyres etc. 
•Implement any option that would allow decreasing costs (training for drivers, road selection)
•Report any operational issues (including cargo) to COMs/ FOPs in charge
•Request instructions in case of arbitrations to be rendered between cargo deliveries
•Alert N+1 in case of significant operational issue (impact on quality of service , invoicing, sensitive client)
•Inform N+1 and sales department of all quotation non-compliant with COM goals (gross margin, turnover, feasibility.)
•Identify and work on the issues raised during the files processing whatever in the responsibility scope or not.
•Receive work order from internal departments and generate the JMP accordingly 

SUBCONTRACTED TRANSPORT 

•Provide subcontracted transport for both internal and external needs with emphasis on service delivery, profitability and cost control
•Select the authorized subcontractors. The selection of subcontractors with risky profile (limited means or quality of service, weak financial situation, competitor...) 

WORKSHOP

•Manage and distribute the day-to-day workshop administration activities including but not limited to procurement, stock management / control, job planning / preventive maintenance scheduling...
•Coordinate workshop daily meetings in conjunction with the Workshop Administrator.&lt;br /&gt;&lt;br /&gt;
•	Minimum – Degree in Business Administration, Supply Chain Management or its equivalent
•	At least 5 yrs experience in running a fleet of more than 25 trucks
•	Local knowledge of the East African Region 
•	Good knowledge of Microsoft office 
•	Experience in using Fleet Management Software (Ideally Telematix) 
•	Excellent communicator 
•	Good record in supervising team members
•	Knowledge of URA Customs Procedures
